Request for Bids on the Furniture Package for the Neighborhood Library Improvement Project No. P.W. 10-09-29 - Changes and Clarifications
05.25.2010 A question was asked if an additional line can be added to each spread sheet to list Freight, Delivery and Installation.
Yes, if you prefer, you may add lines for Freight, Delivery, and Installation to each library spread sheet.
A question arose regarding the fabric, Aradacia : Maharam, for C-04 at the Bay Farm Island Library. This fabric has a repeating pattern. The question is which direction do we want this fabric to run? Do we want it Railroaded or NOT?
It is the bidder’s option to railroad this particular fabric or not.
05.21.2010 Unfortunately no responsive bids were received by the 2:00 p.m. deadline on Thursday, May 20. We have decided to re-bid the project and since we are working on a tight time line, this round has been made more simple for all prospective bidders.
The bid specifications for the two libraries remain the same and the time line for delivery also remains the same. Attached are Excel spreadsheets (Bid Forms). Bay Farm Island Library Bid Form 05.21.2010 West End Library Bid Form 05.21.2010 Please fill in the Bid Forms and submit it directly to me, either by delivery of a hard copy or by pdf attachment to an email. 05.17.2010 We have been made aware that there may be some difficulty regarding pricing for the Bay Farm Island Library because the installation won't take place until February and some of the manufacturers will not hold their pricing into the new year. The question was raised to separate the two libraries into two separate bid packages.
The City wants a complete bid from one dealer on both projects. We will not split the project. Nobody knows how the pricing will go into the new year so we expect the dealers to make their best guess on the numbers. It is your decision to bid our package or not.
05.17.2010 It has come to our attention that two of our selected upholstery fabrics are discontinued and there would be a significant up charge for our custom color leather.
Please note the changes for the following chairs at the Bay Farm Island Library: C-03, C-07, and C-08. Documentation is attached. Upholstery Changes 05.17.10 (PDF, 35Kb)
05.13.2010 It has been brought to our attention that the specifications for the custom literature rack M-01 at the West End Library, is a wood product and that HPL can only offer laminate.
We would prefer to stay with a wood product because there are so many edges that join, and the laminate could look inexpensive with the edges showing. Please ask Creative Wood for pricing. Finish for the wood should be from standard finishes.

West End Library to Close for Renovations on March 13, 2010 at 5:00 p.m.
The West End Library is set to close at 5 p.m. March 13 for a Measure O-funded overhaul. The renovations are expected to continue through the end of the year.
The Carl Werner-designed, 1935 building, which was built with a grant from President Franklin Roosevelt’s Works Progress Administration, will be getting a seismic retrofit; new lighting, flooring, shelves and counters; new wiring, heating and cooling, bathrooms and a new staff room; furniture, security gates and checkout machines. The interior space will be remodeled to separate out space for adults, teens and younger kids, and work will be done outside as well.
Consultants from Noll & Tam Architects hope the remodel will return the 1930s look and feel to the beautiful West End facility and make the building functional and accessible to all.
Materials being held at the West End Library for patrons will be moved to the main library, which is at 1550 Oak Street, and materials from that library should be returned at the main library or the library’s Bay Farm branch.
The estimated cost of the retrofit work for the library, which sits at 788 Santa Clara Avenue, is $1.2 million. Measure O passed in 2000.
When the West End work is complete, renovations will begin at the library’s Bay Farm branch. Those renovations are estimated to cost $1 million.
